Inviting Artists in Bulk (and Customizing the Invitation)
Paste a list of people, choose the show, add your own note, and send. Nobody ends up with two accounts.
Inviting Artists in Bulk
Go to Artists → Invite Artists, or click Invite Artists on a show (on its card on the Shows screen, or in the toolbar on the show's page), which opens the same screen with that show already chosen. Everything happens on one screen.
Step 1: Who are you inviting?
Paste the people, one per line. Each line can be a name and an email, or just the email. All of these work:

Step 2: Which show is this for?
Choose the show, or choose No show yet to bring people onto your roster without putting them in a show.
Customize the Invitation (optional)
Open Customize the Invitation to set your own Subject line and Your note to the artists. Say what you need from them and by when. Your subject and note are saved per show, so the next batch you invite to the same show gets the same wording without retyping it. Leave the subject blank to use the standard one.
Step 3: Send
Click Send invitations. A What happened summary then tells you, person by person, what was done.
The "Already in this show" panel
Once you choose a show, a panel headed Already in followed by the show's name lists everyone connected to it and their state:
- In the show: they have accepted and can submit work.
- Invited, not accepted yet: the invitation went out and they have not acted on it.
- Added by you: you put them in the show yourself, without an invitation.
Check it before you paste, so you do not invite someone twice.
The system works out who is who
You do not need to know whether someone already has an account. Each address is handled correctly:
- A new person gets an account when they accept.
- Someone who already has an account gets an accept button. They sign in as usual and are added to the show.
- Someone whose account has never had a password accepts and chooses a password in the same step. Their link is good for 14 days.
Nobody ends up with two accounts.
What gets emailed
When an artist accepts, they get a "You are in {show}" email with the dates, the artwork deadline and next steps. You and your admins get a notice naming the artist, how they joined and the show. See Who Gets Which Email.
